Privacy Notice

This notice explains what personal information Visage Dental Academy collects, why we collect it, who we share it with and what rights you have. It applies to this website, to our courses and to the enquiries and messages we receive.

1. Who is responsible for your information

Visage Dental Academy Ltd is the data controller for the information described here. Our details are at the foot of this page. If you have a question about privacy or want to exercise a right, email info@visagedentalacademy.com and put Data Protection in the subject line.

2. What we collect

Information you give us

  • Enquiries. Your name, email address, telephone number and whatever you write in the message when you use our contact form, email us or message us.
  • Bookings and accounts. Your name, email address, telephone number, billing address, the courses you buy and your order history.
  • Payments. Payments are taken by our payment providers. We receive confirmation that a payment succeeded, the amount and a reference. We do not receive or store your full card number.
  • Course activity. Which lessons you have opened, quiz and mock examination answers and scores, progress, certificates issued and any work you submit.
  • Adjustments. If you ask for an adjustment for a class or mock examination, we record what we have agreed to provide. Where that involves health information we treat it as special category data, use it only to make the adjustment, and keep it to the people who need to see it.
  • Correspondence. Emails, messages and notes of calls between us.

Information we collect automatically

When you use the site we collect your IP address, device and browser type, the pages you view, how you arrived, and the dates and times. See our Cookie Notice for the detail.

Information from other people

If someone recommends you, or an employer or agent books a course on your behalf, we receive your contact details from them.

3. Why we use it, and our lawful basis

  • To answer your enquiry. Basis: our legitimate interest in responding to people who contact us, or steps taken at your request before entering a contract.
  • To provide the course you bought — enrolment, access to materials, live classes, assessment, certificates and support. Basis: performance of our contract with you.
  • To take payment and keep accounting records. Basis: performance of our contract, and our legal obligation to keep financial records.
  • To improve our courses and this website, including analytics and feedback. Basis: our legitimate interest in running and improving our business, and your consent where cookies require it.
  • To send you marketing about our courses. Basis: your consent, or our legitimate interest where you are an existing customer and we are telling you about similar courses. You can stop it at any time.
  • To make adjustments for disability or health needs. Basis: your explicit consent, and the substantial public interest condition for equality of opportunity.
  • To deal with complaints, disputes and legal claims. Basis: our legitimate interest in defending our position, and compliance with the law.

4. Marketing and messaging

We send course news and offers by email, and we run WhatsApp groups for candidates on some programmes. Joining a group is voluntary. Other members of a group can see the telephone number and display name you use, so please only join if you are comfortable with that. Every marketing email has an unsubscribe link, and you can leave a group or ask us to remove you at any time by emailing us. Unsubscribing from marketing does not stop the messages we must send you about a course you have booked.

5. Cookies and tracking

We use cookies for essential site functions, analytics (Google Analytics) and advertising measurement (Meta Pixel). Our Cookie Notice explains what each one does and how to control them.

6. Who we share it with

We do not sell your personal information. We share it only with:

  • our website host and IT and email providers, who store and transmit it for us;
  • our payment providers, who process your payment;
  • the video conferencing and video hosting services used to deliver and record classes;
  • analytics and advertising providers, as described in the Cookie Notice;
  • our accountants and, where necessary, our professional advisers;
  • tutors and examiners engaged for a course, so far as they need it to teach or assess you;
  • anyone we are required to share it with by law, a court or a regulator.

Suppliers act on our instructions under a written contract and may not use your information for their own purposes.

7. Recording of classes

Live classes are often recorded so that candidates can review them. We will tell you before a recording starts. You can normally take part with your camera and microphone off. Questions you type or ask aloud may be included in the recording.

8. Sending information outside the UK

Some of our suppliers are based outside the United Kingdom, including in the United States. Where information is transferred outside the UK we rely on adequacy regulations or on the International Data Transfer Agreement, or the UK Addendum to the EU standard contractual clauses, together with additional safeguards where they are needed. Ask us if you would like more detail.

9. How long we keep it

  • Enquiries that do not lead to a booking: up to 2 years.
  • Student records, course results and certificates: 7 years after your last course, so that we can confirm your attendance and results if you need it.
  • Orders, invoices and accounting records: 7 years, as tax law requires.
  • Complaints: 6 years from the date of the final response.
  • Marketing consents and unsubscribe records: for as long as we market, plus a suppression record so that we do not contact you again by mistake.
  • Website analytics: as set out in the Cookie Notice.

10. Keeping it safe

We use access controls, encrypted connections, multi-factor authentication on our main systems and regular backups. We limit access to the people who need it. No system is completely secure, but if a breach happens that is likely to put you at risk, we will tell you and the Information Commissioner as the law requires.

11. Your rights

You have the right to ask us for a copy of your information; to have inaccurate information corrected; to have information erased where we no longer need it; to restrict or object to how we use it, including objecting to direct marketing at any time; to receive certain information in a portable form; and to withdraw consent where we rely on it. We will reply within one month, and we do not charge for this. We may ask you to confirm your identity first.

We do not make decisions about you by automated means alone, and we do not use your information for profiling that has a legal or similarly significant effect on you.

12. Children

Our courses are for qualified dentists, dental professionals and students aged 18 or over. We do not knowingly collect information about children. If you believe we hold information about a child, tell us and we will delete it.

13. Complaints

If you are unhappy with how we have handled your information, please tell us first through our Complaints Procedure. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.

14. Changes to this notice

We review this notice at least once a year and whenever we change how we use personal information. If a change matters to you we will tell you directly. The review date is shown below.
